What we collect, why, and how to get it deleted

Who we are

PatternTotem is a brand of Huai'an Pixel Forest Graphic Production Co., Ltd. (淮安像素森林图文制作有限公司), Huai'an, China. We are the data controller for the information described in this policy.

What we collect

When you submit the sample or quote form: your name, email address, portfolio link if you give one, the product and quantity you want, your notes, and the artwork files you upload.

Automatically: your IP address and browser user agent, recorded with your submission as evidence of the artwork declaration you signed.

If you email us: whatever you put in the email.

Why we collect it

To reply to you and quote your order.

To manufacture and ship your order.

To keep a record of the IP declaration you made, which is the legal basis on which we agree to print your artwork.

Nothing else. We do not profile you, we do not sell data, and we do not run advertising.

Our legal basis (GDPR)

If you are in the EU or UK, we rely on: performance of a contract for your name, email and artwork; legitimate interests for the IP declaration record; and consent for the optional showcase and introduction boxes, which you can withdraw at any time.

Who we share it with

Our email provider, so that we receive your submission.

Shipping carriers, so your order can be delivered — name and address only, never your artwork files.

Payment providers, when you pay — they handle the transaction; we never see your card details.

We do not sell or rent your data to anyone, and we do not share your artwork with other customers.

How long we keep it

Your submission and artwork are kept while we are working on your order and afterwards, so we can handle reorders and any warranty claim.

You can ask us to delete it at any time and we will do so within 30 days, except where we are required to keep a record by law.

Your rights

You can ask for a copy of what we hold, ask us to correct it, ask us to delete it, or object to how we use it. Email patterntotem@outlook.com and we will respond within 30 days.

If you are in the EU or UK you also have the right to complain to your national data protection authority.

Cookies

We set no tracking cookies and no advertising cookies. This site does not use Google Analytics or any third-party analytics.

We do not load fonts, scripts or images from third-party servers, so visiting this site does not tell anyone else that you were here.

Your language choice is stored only in the page URL.

Security

The site runs over HTTPS. Customer submissions are stored on a server that only our own operators can reach, and the admin area is password protected.

International transfers

Our server is in Hong Kong and our email provider may process mail outside your country. When data is transferred, we keep the same protections described here.

Children

This is a business service and is not intended for children. We do not knowingly collect data from anyone under 16.
